Scheduling: Meetings and training

Objective. Place off-phone activities such as meetings and training into the schedule and read their effect on interval coverage - treating them as planned shrinkage to absorb in troughs, not peaks.

This screen answers: how do meetings and training get scheduled without breaking coverage? The key read is that these blocks take people out of coverage for that interval, so they are planned shrinkage that must be placed where the schedule can absorb it.

What this screen answers

A Sales or CSM person opens meetings and training to answer: how do we fit necessary off-phone activities into the week without creating a service gap? It is where planned shrinkage - time people are scheduled but not available for core demand - is managed deliberately.

The task

Place a meeting or training block for the team and period, and read its effect on interval coverage. Choose a trough where the schedule can absorb the loss rather than a peak where it opens a shortage. Confirm the block respects rules (for example not colliding with required rest).

How to read it

A meeting or training block removes people from coverage for that interval - the planner must absorb it or a shortage appears. Placed in a trough it protects service; placed on a peak it creates a gap. Read these as planned shrinkage, visible before the day rather than discovered during it. The misread to avoid: scheduling training on a peak because the room was free, without reading the coverage cost.

Honest limits

This screen shows the planned effect of off-phone time; it does not confirm the session happened or that coverage held on the day (that is adherence). Confirm with product how meeting/training shrinkage is modelled and whether it feeds the capacity forecast for a customer; the demo uses seeded data.

Interpretation check

Meeting and training blocks remove people from coverage at that interval - read them as planned shrinkage and place them in troughs, not peaks.

In the field

A contact centre fitting weekly team huddles and refresher training: the screen shows placing them in the mid-morning trough protects the afternoon peak - planned shrinkage managed, not discovered.

Practical task

On the demo, place one training block and write a one-line reading of its coverage effect, choosing a trough interval and stating what would happen if it landed on a peak.

Self-check

A trainer is free at 2pm, the peak. Should you schedule training then?

No, if 2pm is a demand peak. The block removes people from coverage and would open a shortage. Place it in a trough the schedule can absorb.

What kind of time is a scheduled meeting, in coverage terms?

Planned shrinkage - people are scheduled but unavailable for core demand at that interval. It must be absorbed by the plan or it becomes a gap.

Does scheduling the block prove the session happened and coverage held?

No. That is confirmed on the day in adherence. This screen plans the shrinkage; it does not record the actual outcome.

Verified vs demo. Screen is live in the demo at /#/meetings; exact controls, labels and figures are SME-validation-pending.
